For one of our clients, an international management consulting company, gaining the reputation of a trusted advisor and counsellor to many of the most influential businesses and institutions in the world, in a wide variety of industries and functions, we are looking for a Reception & Office Assistant.
Previous experience in a similar position is a plus;
Good written and verbal command of the English language;
Excellent organizational and communication skills;
Positive and proactive attitude;
Punctuality and reliability;
The ability to prioritise tasks and work under pressure.
Promptly and courteously manage phone calls, assess received calls and inquiries and direct them towards to the corresponding department;
Provide information to callers as appropriate, while observing confidentiality in discussing organizational matters;
Greet and assist clients when accessing the facility and provide directions for wanted destinations or information regarding staff whereabouts;
Maintain accurate and complete sign-in/sign-out procedures for on-site staff and visitors;
Assist in the planning and preparation of meetings;
Prepare and process incoming and outgoing mail and other deliveries and collaborate with vendors and couriers if necessary;
Ensure the reception station is maintained at high professional standards at all times;
Assist in the planning of all flights and hotel bookings;
Collaborate closely with the travel agency and handle ground transportation needs;
Be involved in the process of obtaining visas as required;
Monitor, order and distribute office supplies and equipment;
Ensure the invoices issued by vendors in connection with job responsibilities are accurate and delivered in a timely manner to the accounting department;
Make copies, collate, bind and staple, and file documents and reports as needed;
Send out communications pertaining to internal matters and participate in the planning of events.
