    A Snapshot of Your Day

    As a Team Assistant youŽre responsible for the admin support of the department. You maintain the agenda of the Project Procurement Leadership Team and assist in planning appointments, managing meetings, conferences etc. for the team. You attend meetings and keep minutes. You make travel arrangements for the team as well as you are responsible for the team IT. Furthermore, you support other admin Procurement task such as reporting.

    YouŽll be a member of the project procurement organization supporting the colleagues in all administrative questions and demands. As you will be working and communicating with German-speaking colleagues, German language skills are a huge plus.

    How You'll Make an Impact
    • Maintain the agenda of the Project Procurement Leadership Team in Europe and assist in planning appointments, managing meetings, conferences etc. for the team.
    • Make travel arrangements for the Team when needed (flight & hotel booking, visa, other required documents)
    • Handle expense claims for the Team when needed
    • Handle and prioritize outgoing and incoming correspondence (e-mail, letters, packages etc.)
    • Draft formal letters and emails when needed
    • Coordinate with other functions and team assistants, as well as suppliers and third-party organization for meetings, projects, etc.
    • Maintain electronic and paper records ensuring information is organized and easily accessible
    • Attend meetings and keep minutes when needed
    • Handle IT Issues for the team (Order new IT, handle Issues, maintain the stocks etc.)
    • Indirect orders in Ariba
    • Support regarding reporting activities
    • Other tasks as assigned as needed

    What You Bring
    • Proven experience as team assistant or in other administrative roles
    • Proficiency in MS Office (Outlook, Word, PowerPoint, Excel)
    • Great command in both written and spoken in English (German language skills are a huge plus)
    • Excellent organizational and time-management skills
    • Strong ability in structured work
    • Outstanding communication- and negotiation abilities
    • Ability to work independently and confidence to take decisions
    • Integrity and hands on mentality
