    Requirements

    Essential Experience, Skills or Attitudes:

    • Proven experience in a similar role, ideally at Director level
    • Proven work experience in the real-estate industry is a plus
    • Knowledge of office management systems and procedures
    • MS Office, English proficiency and basic financial analyst knowledge
    • Outstanding organisational and time management skills
    • Up-to-date with latest office gadgets and applications
    • Ability to multitask and prioritise daily workload
    • Excellent verbal and written communications skills
    • Flexibility and adaptability to juggle a range of different tasks
    • Discretion and an understanding of confidentiality issues

    Responsibilities

    • Assisting the CEO in maintaining good relations with external contacts and networks; diary management; handling correspondence; setting up meetings & conferences; maintaining a contact database and meeting and greeting visitors to the office
    • Act as the point of contact on behalf of the directors’ with people from both inside and outside the organisation
    • Organise and administer the leadership and advisory board meetings including producing agenda’s, taking minutes, distributing papers, following up on action points and ensuring meeting rooms are ready and in good order
    • Make detailed travel arrangements for the directors’ as required, to include arranging itineraries, accommodation and submitting expenses. Occasionally travel with the director to take notes at meetings or to provide general assistance during presentations
    • Develop and maintain the Directors’ paper and electronic filing and information systems
    • Screen and direct phone calls and distribute correspondence, enquiries and requests as appropriate. Manage incoming emails and post, often corresponding on behalf of the directors’ and drafting correspondence when necessary
    • Assist with research, internal and external resentations as required and support in property transaction intermediation
    • Manage the CEO’s expenses and any other ad hoc duties
