About us
Ubisoft Bucharest has been an important pillar for the local gaming industry since, being the first Ubisoft production studio outside France. It has a strong history of contributing to iconic AAA franchises such as Assassin’s Creed, Tom Clancy's Ghost Recon, Watch Dogs and Just Dance, and has helped develop a total of over 60 games. Requirements:
-MS Office proficiency;
-Good standard of written and spoken English (French is considered a plus);
-Knows how to write in style appropriate to the message and the target;
-Detail & quality oriented;
-Positive attitude focused on problem-solving;
-Multitasking, good communication skills (both written and verbal), intuition, ability to get a message across to any type of individual;
-Organized, open-minded, emphatic, ambitious, responsible, reliable;
-Good interpersonal skills;
-Experience within a corporate environment (internship) is considered a plus.
Responsibilities:
Communication
The office assistant will:
-Work with Operations Manager and will be responsible for preparing presentations, documents and reports following in depth research on a variety of topics;
-Check deadlines on incoming requests and put preliminary work in play;
-Handle flawless communication between support departments and production teams;
-Have overview on every process in the Production Department and will propose and implement improvements in terms of workflow and efficiency of the process;
-Keep up to date the management sharepoint (team availability, procedures, internal rules and regulations);
-Follow-up on the time-sheet reporting and create attendance reports.
Administrative
Organize meetings and events:
-Assist in all administrative aspects of event planning and implementation for the Production Department;
-Schedules and organizes meetings, appointments and conference calls; Arrange meeting facilities and prepare action minutes;
-Handles protocol, events and teambuildings, being involved in all aspects of the process.
Relieve management of administrative details:
-Order stationary supplies;
-Organizes trips and handles the expense accounts for international trips.
Assist the Production Director in planning and maintaining his schedule and ensure follow-up in manager’s absence:
-Schedules and organizes meetings, appointments and conference calls for the Production Director.
