    Responsibilities

    Scheduling and organizing meetings:

    • Hold responsibility for maintaining the calendar, coordinate and arrange appointments and meetings in Outlook., logistics (. room and parking booking, telephone & web conferences, video – conferences) and follow-up actions
    • Send reminders and follow-up emails
    • Liaise with other Operational Entities, units, departments as well as with externals (clients, providers) and fosters good relationships


    Administrative tasks:

    • Making corrections in the Time Management application (GAZ/SAP);
    • Send reminders and standard communications;
    • Organizing onboarding of internals and externals (LegBA activities);
    • Assigning orders over the Procurement Application OneSource (SAP)
    • Invoice tracking
    • Excel overviews upon request.


    Event management:

    • Travel booking in the internal Travel Application (Onesto – means of transportation, accommodation)
    • Coordinate international workshops, including logistics (except bookings);
    • Agenda setting, participants;
    • Support and track status of preparations.
