Job role
In this role, you will be in charge with the coordination of project meetings and monthly project status of Finance Simplification project, including sending regular reports or presentations. You’ll be involved in communicating with stakeholders across the company and you'll be responsible for identifying or supporting a variety of administrative or finance operational functions. For this, you’ll also need to be able to jump in where needed, figure things out independently and drive collaboration through the relationships you build.
Responsibilities
Organization of project meetings . work stream jour fix, project update – agenda setting, booking of meeting rooms, presentation of specific PMO tasks, create minutes, to do tracking and follow up;
Budget tracking for project and chases team members to provide their data;
Tracks time recording of external consultant company;
Creates and updates project in PlanView/Service Now;
Organizes data files in project SharePoint . structure of files, access rights;
Updates project org chart;
Tracks and follows up important to dos (. blueprint documentation);
Creates project presentations;
Reports and communicates the project results to stakeholders in a matrix organizational structure;
Ensures all project plans, briefs and key project documents are available on time and are accurate to enable delivery to cost/quality/time;
Supports access right of external consultants (. windows and SAP access rights).
Requirements
University degree Business Administration/Project Management/Finance or comparable;
Fluency in English, both written and spoken;
German language would be a plus;
Experience with financial and project management software (. SAP, Service Now, Planview);
Ideally with some practical back-office experience working within either a portfolio, program or project controlling/accounting function (. through being part a project management office);
Knowledge of MS-Office (esp. Excel, Access and PowerPoint);
years previous experience in back-office or financial analysis, including reporting, project documentation.
Skills
Ability to self-start and self-direct work in a fast changing environment;
Comfortable dealing with ambiguity or prioritizing workload;
Strong interpersonal and communication skills are required to manage a group, achieve
cooperation, negotiate and reach agreement with audience/stakeholders.
