    Responsibilities

    Manage the front desk and act as the Ullink local host for visitors (candidates, visiting staff, ...)
    Answer the switchboard, screen and forward incoming phone calls
    Receive and sort daily mail/deliveries/couriers
    Provide general administrative support (ensure files up to date / filing…)
    Ensure office supplies and other necessary items are in stock
    Manage local meeting rooms and organise meetings when necessary
    Book travel for local staff and occasionally for visiting staff (flights, trains, hotels, visa...)
    Offer support to Office Manager in office expansion and refurbishment (June 2017)
    Assist with organisation of social and company events

    Role Overview

    We are a growing International Fintech organization looking for an Office Assistant to join our dynamic team of over 140 employees in Cluj. The successful candidate will fulfill an exciting and challenging role in overseeing smooth day-to-day operations of our office spread over three floors on facility, & vendor management, visitors and travel requirements.

    The Office Assistant will be the first person to greet all Ullink visitor therefore strongly contributes to the company’s brand image by ensuring high quality interactions with visitors and employees and will also facilitate negotiations with third party vendors.

    This is an exciting time to join our Cluj office since we are expanding our office space and this will be a key project for the coming months! You will be part of a creative and energizing global HR & Office Management team reporting directly into the Office Manager & HR Specialist.


    Education: graduate degree

    Languages: fluent English, French considered a plus
