We are seeking a Billing Officer to join our team.
Role summary:
As a Billing Officer, you will be responsible for managing and processing invoices for the organization’s clients in a timely and accurate manner.
- You will ensure that all billing activities are conducted in compliance with company policies and client agreements.
- This role involves generating invoices, maintaining billing records, resolving discrepancies, and liaising with both internal teams and clients to address billing inquiries.
- You will also work together with the full finance department to assist in month-end and year-end closing processes, ensuring accurate revenue recognition and reporting.
- Your attention to detail and ability to manage multiple billing accounts will play a key role in ensuring the smooth operation of the billing cycle.
Major duties and responsibilities:
Invoice Generation and Processing:
- Accurately prepare and generate invoices based on client contracts, agreements, and/or services provided, and engagement teams information.
- Ensure timely submission of invoices to clients, adhering to agreed billing cycles.
- Maintain detailed and organized billing records, ensuring all invoicing information is correctly recorded and easily retrievable.
- Reconcile billing discrepancies by investigating and resolving any issues related to invoices.
- Work with internal teams (e.g., finance, engagement teams) to resolve issues or discrepancies in billing data.
- Act as one of the point of contact for clients regarding billing inquiries, disputes, and clarifications.
- Provide clear and professional responses to client queries related to invoices, payment schedules, and billing details when required.
- Assist in month-end and year-end closing activities by ensuring accurate and timely submission of invoices.
- Support the billing manager and / or supervisor to collaborate with the finance team to ensure accurate revenue recognition and assist with audit requirements.
- Ensure all billing activities comply with internal policies, tax regulations, and client contracts.
- Maintain proper documentation and audit trails for all invoicing transactions to support internal controls.
- Ad hoc Support manager and supervisor to maintain billing systems and software to ensure the accurate recording and processing of billing data.
- Assist with system improvements and process automation initiatives to streamline billing operations.
- Prepare and provide regular basic billing reports.
About you:
- Bachelor’s degree (or equivalent) in Business Administration, Finance, Economics, Mathematics, or a related field.
- 1-3 years of experience in a billing, finance, or administrative role;
- Fluent in English (Speaking and Writing). French and/or German is considered an asset;
- Effective business communication skills: proficiency in written & spoken business English, presentation skills, communication with various stakeholder groups;
- Knowledge of MS Office suite: Word, Excel, PowerPoint, Outlook;
- Comfortable using billing systems and software, with an interest in process improvement and system updates.
- Basic analytical skills for preparing billing reports.
- A team player who can collaborate effectively across different departments.
