    Missions and Responsibilities
    Mission

    The Office Assistant will organize and coordinate the office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. A successful Office Assistant is an energetic professional who is comfortable wearing multiple hats, while being able to manage a wide range of administrative duties and execute support-related tasks. Working autonomously, the Office Assistant is well organized, flexible, and enjoys the challenges of supporting an office with diverse people.

    Responsabilities

    - Acts as event planner and main point of contact for all company events i.e. regional meetings, employee events and office meetings (example: teambuilding)
    - Manages the car fleet and telecommunication provider accounts, supervising all contractors i.e. cleaning, cargo, pest control
    - Promotes Safety culture, acts as a champion for Safety for the Headquarter
    - Ensures that equipment is kept in proper working condition (Phones, furniture, lighting, meeting rooms AV equipments, bathrooms, kitchen, etc),
    - Manages and liase with Helpdesk / IT or other service providers for functionalities at the HQ - Keeps all posters (on the walls) appropriate and updated
    - Promotes Environmental friendly behaviors: recycling electricity & water consumption, heating, etc
    - Manages the reception tasks (appointment or telephone) by giving a positive image of the company and redirects calls effectively
    - Manages courier services including invoices/ contracts & addendums to clients and suppliers
    - Manages Office supplies and makes sure that that all the closets of the headoffice are well organized following the 5s continuous improvement principle
    - Perform checks over the Travel and Accomodation expenses making sure that the policy and thresholds are respected
    - Creats purchase requests for administrative departments
    - Edits and formats various documents such as letters, addresses and any other document upon need, creating quality translations if needed
    - Scans, archives the original documents received at headoffice
