    Job Description

    • ?  Identifies situations that might alter the quality of the services provided and proposes measures to overcome such situations;
    • ?  Designs, checks and updates work instructions;
    • ?  Keeps the Project Manager constantly up to date regarding the activity within the project/service;
    • ?  Prepares and regularly submits reports to the Project Manager;
    • ?  Is consulted on developing the BCP (Business Continuity Plan) concept, on Risk Management as well as on drawing up the project strategy;
    • ?  Monitors the feedback provided by other departments regarding various situations and takes all appropriate measures to correct potential errors; 
    • ?  Monitors and interprets the project-specific KPIs (Key Performance Indicators), while also proposing and applying measures to improve them;
    • ?  Is responsible for creating the project/service OrgChart;
    • ?  Submits monthly attrition reports;
    • ?  Keeps in touch with the client's designated contact persons throughout the project/service;
    • ?  Plans the on-site visits of the clients;
    • ?  Is responsible for the internal escalations (to the management) as well as the external ones (to the client);
    • ?  Prepares and submits regular reports (on a daily, weekly and monthly basis) or exceptional reports, as requested by the client or the management;
    • ?  When necessary, travels to the client's location or communicates with the client via conference calls;
    • ?  Records the standard messages (IVR/Auto responder) if the case;
    • ?  Makes sure that the procedures and work instructions are correctly enforced within the team;
    • ?  Creates the working schedule/shift plan and informs the team about it;
    • ?  Coordinates, supervises and provides support to the subordinates;
    • ?  Personally make decisions, should a critical situation arise;
    • ?  Constantly monitors and evaluates the subordinates;
    • ?  Periodically organizes performance evaluation sessions for his/her team and fills out the evaluation form;
    • ?  Periodically organizes feedback and coaching sessions for each subordinate, while proposing incentives and disciplinary measures;
    • ?  Monitors and interprets KPIs for each subordinate, while proposing improvement measures;
    • ?  Monitors the activity of the subordinates (punctuality, discipline, leave of absence, attendance);
    • ?  Organizes and chairs team meetings, in order to inform his/ her team about any internal or external topics that are relevant to their activity;
    • ?  Prepares, checks and submits the OM1 file to the Financial Department, while receiving information regarding the OM2 file, the acceptance bills of the projects/services he/she is responsible for, the financial/operational forecast and the Business Plan; 
    • ?  Requests advance payments from the Financial Department (for team buildings, protocol, etc.) and deducts the expenses of the requested amount of money;
    • ?  Approves and has responsibility regarding status at any business trips of his/her team
    • ?  Is involved in the event of any contractual renegotiation of the running project/service or if certain services are extended/changed;
    • ?  Provides support to the HR department in redacting documents regarding the project activity (job descriptions. addenda comprising performance objectives etc.);
    • ?  Is part of the hearing committee if a team member undergoes a disciplinary hearing;
    • ?  Prepares, checks and if necessary submits monthly time keeping records to the HR department;
    • ?  Collaborates with the HR department in the recruitment and selection process (providing job profile, creating the WorkON, attending the interview, taking the decision);
    • ?  Schedules the team for the regular medical investigations (on yearly basis), as requested by the HR department;
    • ?  Is consulted about the event of contractual changes (salary, position, extension, etc.) as well as regarding overtime and bonus;
    • ?  Collaborates with the HR department for the following processes: GPD/TAR/ASR. These processes are organized on yearly basis, except GPD witch could happen twice per year at subordinate level; 
    • ?  Identifies and submits the training needs of the team to the HR department;
    • ?  Collaborates with the HR department regarding the associate satisfaction survey;
    • ?  Provides the necessary information to the IT department when a new associate is hired (NT user etc.);
    • ?  Opens IT/CI tickets whenever necessary;
    • ?  Requests the necessary equipment and office supplies from the Purchasing Department;
    • ?  Provides support to both the IT and the Purchasing department in the inventory process;
    • ?  Organizes periodical Health & Safety sessions with his/her team;
    • ?  Handles requirements regarding ISP/AIM process updates for his/her team - training, filling out forms, annual and biannual verifications.
    • ?  Offers support to PJM and SAL departments (drafting documents, providing information etc.) when/if requested;
    • ?  Collaborates with the Quality department in preparing the documents for auditing (internal, C/AU, SO, ISO);
    • ?  Provides support to the Quality department in the Continuous Improvement Process (CIP);
    • ?  Discusses any queries regarding procedures, work instructions, products and services with the Quality department;
    • ?  Is familiar with and abides by the Integrated Management System - Handbook and Procedures (Quality, Environment, Occupational Health and Safety), which concern one's activity;
    • ?  Fulfils any other tasks related to area of responsibility, as requested by direct superior.
