    Qualifications

    • English fluent;
    • University diploma;
    • Team spirit, excellent communication skills;
    • Excellent organizational skills, decision making ability, attention to details;
    • Awareness of quality, reliability and responsibility;
    • Ability to work under pressure and respect deadlines;
    • Analytical and synthesis ability;
    • Independent, responsible, accurate and structured way of working;

    Job Description

    • Assists the General Manager on request;
    • Manages the General Manager meeting calendar, timesheet and travel tickets;
    • Handles tasks in the administrative areas, follows and updates the existing Team Assistant work instructions;
    • Centralizes administrative documents and presents them to the General Manager in order to be approved and signed;
    • Initiates and facilitates communication between the organization departments;
    • Collaborates with the Office Assistant of GS/OG-EE regarding organizational aspects;
    • Manages internal and external correspondence at company level, for both divisions (SO/ GS);
    • When necessary, delivers official documents to the partner companies or authorities;
    • Performs tasks required in the relationship with external partners: Bookster, Holiday gift orders, Posta Romana.
    • It is responsible for placing and sending orders for packages delivery in both EU and non-EU countries, at company level, as well as tracking their status until delivery.
    • Office and stationary orders and Shopping carts creation as per request, at company level for both divisions (SO/ GS);
    • Organizes meetings: plans, prepares the meeting rooms and necessary materials;
    •  Maintains the meeting rooms in order equipped with the necessary materials (flipchart, markers, moderator kit, etc.);
    • Participates to management and administrative meetings, keeps and distributes the Minute of Meeting;
    • Presents regular status on topics/open actions requested by TCR;
    • Manages site visits or internal meetings - provides necessary protocol and logistics;
    • Organizes hotel and transportation for visitors, welcomes the visitors at the building reception;
    • Manages access cards for visitors of the location;
    • Maintains communication with external providers and manages protocol and logistics orders;
    • Periodically checks the kitchens equipment and orders replacements if necessary (cups, glasses, plates, tableware etc.).
