    Experience required for this role:
    • 6 months – 1 year & 6 months work experience in Office Management or Facilities OR relevant volunteering experience.

    Responsibilities

    YOUR ROLE

    We are looking for an Office Assistant that will join our mission by working within our Operations Team in order to assist the team in office logistics and solving inquiries and requests in office resources matters.

    This is a full time position, in Bucharest.

    RESPONSIBILITIES
    • Offering support in day-to-day operations related to office issues (E.g. shopping for office supplies, solve inquiries coming from the employees, receiving mail and courier packages);
    • Solving office-related malfunctions;
    • Working with vendors to ensure that the functions of the office run smoothly;
    • Handling organizing and maintaining office common areas and the storage areas;
    • IT &C equipment and maintenance:
    o handling the office equipment purchases and manages the equipment inventory;
    o partnering up with our IT services vendor in order to solve any maintenance issues;
    o implementing the procedures related to staff onboarding/exit.
    • Verifying invoices and sending them to Finance for payment;
    • Keeping the vendors database updated;
    • Managing the maintenance of the car fleet of the organization (3 cars).
    • Working with other departments to ensure compliance with established Operations procedures;
    • Maintaining trusting relationships with suppliers, colleagues and volunteers;
    • Offering support in logistics issues for internal projects (E.g. Student Survey, fundraising campaigns), conferences and trainings.

    This is a project-based role, as a maternity leave cover, available until June 2021.

    The selection process will consist in:
    • Screening, according to the application form;
    • Phone Interview with the HR department;
    • Interview with the Operations Director;
    • Final interview with the Executive Director.
