    Requirements

    On behalf of our client, a global company, one of the leaders in the aeronautic field, we are recruiting Administrative Assistant.

    QUALIFICATIONS AND KNOWLEDGE:
    • High School Diploma
    • Ability to operate office equipment including mailroom equipment, scanners and alphanumeric keyboard
    • Ability to read and interpret documents
    • Ability to validate high invoice volume, while maintaining accuracy
    • Attention to detail
    • Fluent in English

    Responsibilities

    RESPONSIBILITIES:
    • Open mail and distinguish between the different types of documents received in the mail (i.e. invoice, acknowledgements, sales orders, statements, etc.) and route per guidelines;
    • Prepare vendor invoices for imaging including preparing batch sheets;
    • Scan invoices into document imaging system;
    • Perform quality check on invoice image and re-scan if needed;
    • Enter key data fields (e.g. invoice number, invoice date, invoice amount, purchase order number, etc.) from an image of the vendor invoices into system;
    • Enter data field accordingly to pre-defined guidelines (e.g. no leading zeros, no dashes, etc.);
    • Identify correctly duplicate invoices and handled per instructions;
    • Verify work for accuracy and completeness;
    • Identify non-compliance of expected invoice submissions, and track for improvement.
