    Requirements

    Student / University graduate
    Fluent English written and spoken
    Very good communication skills, pro-activity, customer-oriented attitude, able to work with deadlines
    Team focused - agreeable, supportive, helpful, collaborative
    Very good planning and organization skills, able to multitask
    Knowledge of Microsoft Office Products (Word, Excel, Outlook)
    Basic courtesy and diplomatic abilities are important to this position. Must be able to interact effectively with corporate system personnel and maintain a professional attitude and appearance at all times

    Nice to have
    1-2 years of experience on a similar position in a multinational environment is a plus but not mandatory

    Responsibilities

    Maintain the relationship with the employees and company guests and respond to their requests;
    Greet, welcome and direct guests to the appropriate person or office;
    Draws up required management reports and statements or documents at the request of the superior;
    Establishes the fund plan for protocol, the need for consumables for the company's personnel and orders the necessary consumables (stationery, protocol);
    Liaise with all the company's suppliers; is responsible for choosing suppliers, negotiating contracts and managing them;
    Keep track of travel and travel expenses of employees; prepares the expense accounts and submits them for re-invoicing to the customer in a timely manner;
    Weekly updates the internal and the re-accountable travel expenses report by cost centers and sends it to the direct manager / CFO;
    Sends the documents related to travel to the accountancy;
    Draws up and submits reports required by management; keep in touch with employees on travel and provide support for various requests, if needed;
    Sends information on the periods of travel of employees for the calculation of travel advances (daily allowance); sends salary information about the employees' movements in order to make the correct calculation of the salary (retention of meal tickets);
    Managing the correspondence on the company's address (envelopes, faxes, offers, telephone calls etc.);
    Is responsible for the registration of the written documents and their records;
    Is responsible for sending subscriptions to magazines and newspapers; track and verify their receipt;
    Sends monthly the financial situation of office management costs;
    Supervising order and cleaning inside the company; ensure that the work environment is kept at high standards;
    Sees any irregularity in the workplace and deals with its rectification in a timely manner;
    Is responsible with internal communications about the workspace or procedures that are in his / her responsibility;
    Provides support to the financial-operational department, of which it is part and performs tasks assigned by the direct manager or CEO, but not limited to this;
