    Requirements

    Minimum five (4+) years of administrative experience
    Strong written skills and oral are required along with strong skills in Microsoft Office tools.
    Must be able to manage multiple priorities, work across all level of the organization, be organized, be a self-starter, work independently with little daily interaction with their supervisor and be flexible to changes in activities and schedules
    Ability to work and multitask in fast-paced environment

    Responsibilities

    Procurement and Finance:

    Interacting with the procurement and finance departments;
    Owner of the onboarding process for new services / training suppliers and business support partners;
    Locating and engaging the companies that offer services to our requirement level for training, catering, marketing materials, etc.;
    Involvement of the procurement department to take over the onboarding process;
    Raising and tracking POs for the services / training activities.

    Training Coordinator:

    Periodically engage with the on boarded companies for updated training catalogs and seating availability;
    Creating and updating the list of attendees, course enrollment and distribution of training material;
    Organizing the in-house trainings and ensuring availability of classrooms and associated resources;
    Organizing pilot classes for new courses, getting feedback and identifying appropriate payment methods;
    Centralization of organized courses and tracking of final exam results.

    On-site visit coordinator:

    Point of contact for managers, program managers and invitees for organizing the visit;
    Maintaining and updating the visits calendars (duration, attendance, meeting rooms, scope, etc.);
    Providing meeting rooms, transportation, catering, meals and other activities;
    Raising associated POs, validating cost centers, obtaining expense approvals.

    Event coordinator:

    Identifying venues, engaging with the sales department and negotiation of the commercial offer;
    Organizing internal company events for notable events and holidays;
    Organizing the aspects associated with the yearly off-site:
    -Available hotels and pricing
    -Transportation
    -Identifying and validating team building exercises mapped on the company culture and the business needs
    -Maintaining the off-site agenda and the invitee list
    -Contract negotiations with other venues (e.g. restaurants).

    Business support:

    Work order tracking, validation, centralization for tax exempt;
    Support for the implementation of the Social Committee’s events and initiatives.
