Executive Assistant (French and English speaker)

At least 2 years previous experience on a similar position;
Excellent command of both French and English (speaking and writing);
Microsoft Office proficiency (Excel, Outlook, Word, Power Point);
Proactive, resourceful, energetic character who can work independently;
Great social & organizational skills with detail and process-orientated attitude, always ensuring the right tasks are done by the right people at the right time;
Ability to work under pressure and to respect the deadlines agreed.
Providing administrative support and a variety of secretarial functions for the Shareholders including typing up documents, personal expense reconciliation, making and receiving telephone calls and delivering messages;
Assuring operational support to Shareholders and external suppliers as per business requirements;
Confirming that all customer related company-wide filing systems & archive records are accurate and up to date;
Managing the flow of general correspondence including email, papers & documents;
General primary accounting activities: review invoices and contract payments, generating financial reports (purchases & sales);
General commercial activities: providers data base, organizing invoices and transport documentation;
Coordinate the Associates schedule, appointments, reservations and travel arrangements.
