    Requirements


    Responsible of Head Office administration and Travel activity in USCE.
    Manage the office activities to offer support and assistance to the Chairman and HR and Communications Director.

    Responsibilities

    • Responsible for Financial administration of the Fixed Assets in Head Office;
    • Responsible for the good Administration the Head Office: good relationship with the landlord; cleaning services and office maintenance. Order office supplies, stationary, maintenance and interior design of the Offices.
    • Co-ordinates the meal tickets distribution;
    • Co-ordinates the Evacuation procedure in case of necessity;
    • Responsible for Rental Contracts for Business Homes, maintains Relations with the owners;
    • Co-ordinates Courier Service Activities;
    • Co-ordinates Reception Desk Activity;
    • Co-ordinates Mail and Express Mail (DHL);
    • Ensures Newspapers and Magazines supply;

    • Co-ordinates Travel Activities in USCE (plane tickets, Hotels and Restaurants, visa arrangements, transfers, meetings and conferences organization, Travel Health Insurance Policies, Visa Invitations);

    • Negotiates with all suppliers of products and services for all the above activities and checks they are are according to Romanian Laws.

    • Introduce PO-s in SAP and approve invoices in DCIW

    • Keep contact with external suppliers and renew administration contracts

    • Ensure efficient and empathic running of the office in administrative respects (e-mail and post mail, telephone, filing, keep time & expenses registers, record & distribution of internal documents);
    • Organize and manage the directors agenda – ensure efficient meeting preparation through good co-ordination of people, time allowance and smooth schedule;
    • Administrate travel arrangements for directors and visitors;
    • Ensure overview awareness of major company activities to facilitate a speedy and smooth communication between Director and his/her team and departments;
    • Ensure the interface in terms of internal communication of our Head Office with all other Unilever offices from the region and worldwide;
    • Prepare presentations and organize events;
    • Be capable to judge information and documents at the confidentiality level of fast moving daily office life;
